You have decided for reasons covered in another of my articles that you want to hold a block of rooms for your exhibitors/delegates and that you would prefer to manage the block and hotel contract yourself. A somewhat daunting task, especially if you have not contracted with a hotel before.

Before starting, as with any project, be sure that you have all the information that you will need to hand. ?The details of the event or group, dates, numbers, budget, contact information and your preferred or ideal outcome. ?This will ensure that you do not look badly organised when talking to the hotels.

 

The Hotel Contract

In order to take a block of rooms for your event you will need to agree terms and sign a contract with each of the hotels involved (as each of them may have their own terms which need to be agreed to, as well as different rates and commissions).

Most hotels will push you to sign their standard contract but this is not recommended as the terms will be very much protecting the hotel, with most of the liability on the shoulders of the event organiser.
